Naturesbase Ty Coed Lodges Terms and Conditions for family groups
This is our home and we live on site. We have created what we believe is something a little different and rather special. We very much welcome responsible and respectful guests to share the uniqueness of Naturesbase and have a wonderful time. We ask you to read the terms and conditions below carefully. Should you not understand anything, please let us know before you book.

BOOKINGS AND PAYMENTS
Advanced booking is required. Please check by phone 01570 471795 or email alison@naturesbase.co.uk
Provisional bookings will be held for a maximum of 7 days. To confirm a booking a 50% non refundable deposit is required together with the completion of the booking form. Confirmation of the booking will be given upon receipt of the deposit.
The person submitting the booking form will be the person held responsible for the behaviour of the group.
The balance of the total booking cost is due for payment 8 weeks prior to the arrival date.
If the booking is within 8 weeks of the stay the whole cost is payable.
The arrival time is normally after 4pm and departure time is 10.30am .
A £150.00 damages bond is also required. This will be refunded within 5 days of departure if no damage or out of the ordinary cleaning is required.
Payment can be made by cheque or bank transfer.
ACCEPTANCE OF BOOKINGS
The booking is accepted only on the understanding that no more than the number of people declared on the booking shall stay. If you wish to increase the numbers staying you must inform us a least 4 weeks prior to your stay when we will try and accommodate them but cannot guarantee this.
We reserve the right to refuse or curtail any booking where it subsequently transpires that information has been withheld from us either by numbers in the party or its composition. All bookings are subject to a security deposit of £150 being received against inventory and cleaning, refundable at the end of the stay, less any damaged or missing items and less any other than normal cleaning being necessary by us.
CANCELLATION
We do not provide holiday cancellation insurance; we strongly recommend that you take out your own holiday insurance cover.
If you wish to cancel within 8 weeks of your stay, for any reason, then the rental of the whole stay is due in full and payment will be sought. Any legal fees incurred in pursuing payment will be borne by you.
Your cancellation should be confirmed in writing.
In the event of cancellation we will seek to relet the lodges booked at the best possible price but not necessarily at the advertised price. If successful we will return the balance of the amount paid less a 10% administration charge.
CANCELLATION BY OURSELVES
In the unlikely event that the lodges become unavailable due to reasons beyond our control we will refund all monies paid. We shall not be under any other liability.
Family RESPONSIBILITIES
The site beyond the camping fields is of natural farm environment with woodland a stream and pond which children need to be supervised by an adult in. No visitors should enter the pig or chicken paddock and children shall be accompanied in the sheep field by an adult.
Visitors shall adhere to the signs around the site for their own health and safety.
We would ask for you to refrain from playing music outside and keeping the noise outside to a minimum after 9pm.
Be responsible for the good conduct, ensuring the safety of your family and become familiar with fire procedure of the barn, toilet block and lodges
The lodges
Be responsible for all keys supplied.
Inform Gyles or Alison or other Naturesbase staff immediately should there be any power or equipment failure.
Any breakages must be notified to us as soon as is reasonably practical after they have occurred.
Ensure that the lodges are left clean and tidy.
Ensure that all recyclable rubbish is sorted following Naturesbase’s environmental policy and glass is taken to the village bottle bank
CAR PARKING
Please drive slowly on site ( 5mph) as there are children around.
Please note that cars can only reach within 30M of the lodges but wheel barrows are available to help transport luggage.
GAMES
Those in charge of children and teenagers please ensure that they understand that no ball games can be played in the courtyard, there is a designated games field which children must be accompanied in. They must not be allowed to climb any walls, gates or to enter fields alone.
Please ensure that under 10 year olds are accompanied in the games barn and that it is kept tidy and that all games are put away tidily after use.
Please ensure under 16 year olds are accompanied in the dining / stone barn and that the games are put away tidily after use.
Please make sure all children are accompanied in any area beyond the courtyard including the Hill Fort.
Please make sure all gates are shut behind you on site. Guests should not enter any fields or animal enclosures without express permission.
PETS
Only one dog will be allowed in the lodges.
LINEN
All bed linen is provided. Towels are not provided.
FIRE PIT
There is an outside fire pit in an adjacent field surrounded by logs for guests to use. No fire wood to be collected on site or surrounding lanes. There are bags of logs available in our small shop or you can bring your own. Guests are responsible for making sure the fire is out at the end of the evening.
There are picnic tables for up to 25 in the courtyard for outdoor dining.
LIABILITY
No liability is accepted in respect of loss or damage to any group member, their baggage, car or contents, resulting from riot, war, strikes, adverse weather conditions or sickness or injury or for loss or damage by a third party. This does not exclude liability for the actions of employees, agents or subcontractors of us as the hostel owners.
COMPLAINTS
If, upon arrival you feel that there are reasonable grounds for complaint we must be notified immediately so that, if possible, appropriate action can be taken during your stay. If a reason for complaint should arise during your stay, you must similarly contact us as soon as the problem arises. No complaints will be considered after completion of your stay, unless they were raised when they arose.
Whilst everything will be done within our power to attend to repairs to property, furniture, equipment, facility that may be faulty or fail during your stay, no guarantees will be given and no refunds will be granted should any breakdown occur and not be immediately rectified.
CONDUCT OF INDIVIDUALS AND GROUPS
Naturesbase is in a quiet location with our house on site and on the edge of a village.
We therefore ask our hostel guests to:-
The lodges and barns are strictly no-smoking areas. Guests wishing to smoke are requested to do so outside disposing of cigarette butts in the sand pots provided.
Anyone found in possession of or using illegal drugs will be required to leave the premises immediately.
Candles, candle lanterns, joss sticks, fireworks stoves are not permitted inside the lodges due to fire risks.
DEPARTURE TIMES
All bedrooms should be vacated promptly by 10.30am on the day of your departure.
Group members should strip the sheets, duvet cover and pillowcase and place them on the floor in each room.
Return keys to a member of staff or the farmhouse.
Rooms should be left clean and tidy.
The kitchen, fridge and other public areas should be left clean as found. All cleaning materials and tools are provided for your use.
DAMAGE
The proprietors reserve the right to charge for property damage.
Should anyone not observe the above terms and conditions, the proprietors reserve the right to cancel the booked accommodation and retain any monies paid for subsequent nights.
The lodges are let on the understanding that the above terms and conditions will be observed in full.
